Street Fair Terms and Conditions

Red Lion Area Business Association (RLABA) Street Fair


1. Registration & Payment

  • No Street Fair spaces will be reserved without a completed registration form and full payment.
  • Any party sellingdistributing, or promoting at the Street Fair without proper registration will be asked to leave immediately.
  • For vendors representing companies that allow only one vendor per event, it is your responsibility to check the posted vendor list to avoid duplicate representation.
  • There are no refunds for any reason.

2. Prohibited Items & Content

The Street Fair is a family-friendly community celebration. As such, the following are strictly prohibited from display, sale, or promotion:

  • Alcohol, tobacco, or illegal drugs
  • Items or signage promoting violence, profanity, or hate speech
  • Toy guns, airsoft guns, gun-shaped items (including novelty lighters), or any facsimile firearm
  • Canned string, confetti cannons, or other mess-making items
  • Yard sale or flea market–type goods

The RLABA reserves the right to deny or revoke participation at any time for violations of these content restrictions or any other policy outlined herein.


3. Setup & Teardown Instructions

  • The event is held rain or shine.
  • Setup may begin at 6:30 a.m.
  • All vendors must be fully packed and cleared by 5:00 p.m.

Traffic & Safety Notice

  • The Red Lion Volunteer Fire Department will manage road closures and openings. Their authority supersedes these terms in matters of public safety.
  • Vendors arriving early must obey all traffic laws and park legally until the road is officially closed.
  • When unloading, do so quickly and remove your vehicle before setting up your booth.

Teardown

  • No vehicles may enter the fairgrounds for breakdown before 4:00 p.m., unless early breakdown is authorized due to weather.
  • The street must be completely cleared by 5:00 p.m. for cleaning.

4. Space Assignment & Use

  • Standard vendor spaces measure 20’ wide x 10’ deep.
  • Food vendor spaces measure 30’ wide x 10’ deep.
  • Vendors must fit entirely within their assigned space, including any awnings or displays.
  • All protrusions must allow emergency vehicles to pass unobstructed.

Space Markings

  • Spaces will be marked with green wax crayon or white chalk paint.
  • Maps are provided for reference, but exact placement is not guaranteed.

Note on Accessibility

  • Due to the layout, handicap-accessible vendor parking is not available. Please plan accordingly.

Parking Obstructions & Adjustments

  • In the event of illegally parked vehicles or unforeseen circumstances, RLABA will work with affected vendors to assign an alternate space if available.
  • If no suitable alternate can be found, a refund may be issued at RLABA’s discretion.

5. Vendor Conduct & Rules

  • Vendors must remain within the bounds of their assigned space.
  • Vendors may not block walkways, occupy unassigned areas, or encroach on other vendor spaces.
  • Aggressive or unsolicited behavior toward attendees (e.g., shouting or physically approaching passersby) is strictly prohibited.
  • Do not leave trash or materials behind. All items, boxes, and debris must be removed from the sidewalk and street. Failure to comply will result in exclusion from future events.

No space may be transferred, assigned, shared, or exchanged without prior written approval from the RLABA.


6. Power & Utilities

  • Electricity is not provided unless previously arranged.
  • Generators must be quiet-running (e.g., inverter-style) and safely operated.
  • Extension cords may not block walkways or interfere with neighboring booths.
  • Power usage must comply with safety standards and fire codes.

7. Food Vendors & Health Compliance

  • All food vendors must comply with York County Health Department regulations.
  • Proper licenses, food handling permits, and fire extinguishers must be present on-site.
  • Vendors must bring necessary equipment, including hand-washing stations where applicable.
  • Food vendors are responsible for food-related waste cleanup in and around their space.

8. Weather Contingencies

  • This is a rain or shine event.
  • Refunds will not be issued due to inclement weather.
  • In the case of hazardous weather (e.g., lightning, high winds), RLABA and public safety officials will provide direction. Vendors must comply promptly.

9. Insurance & Liability

By registering for this event, vendors agree to the following:

  • No insurance coverage is provided by the RLABA for vendors, their property, or employees.
  • Vendors agree the RLABA and its agents are not liable for any injury, loss, theft, or damage before, during, or after the event.
  • Vendors agree to indemnify and hold harmless the RLABA and its agents from any claims arising from their participation.

10. Communications & Announcements

  • All official communications will be sent to the email address provided during registration.
  • It is the vendor’s responsibility to check email regularly for updates, maps, safety notices, or last-minute changes.
  • Add our address to your safe sender list to avoid missing key updates.

11. Promotion & Social Media

  • Vendors are encouraged to promote their presence before and during the event.
  • Tag and mention the Street Fair and RLABA in your social posts to increase visibility and foot traffic.
  • Official hashtags and social handles will be shared in pre-event communications.

12. Enforcement & Termination

  • All participants must comply with local, state, and federal laws, and follow all directions from public officials and event staff.
  • The RLABA reserves the right to ask any vendor to vacate the premises for any policy violation, misconduct, or safety concern.
  • Vendor agreements may be terminated at any time by RLABA without liability or prior notice.

Acknowledgment of Terms

By submitting your application and payment, you agree to all terms outlined in this packet. Participation in the event signifies full agreement to abide by these rules and any related announcements made by the RLABA or its representatives.
